General Purpose and Scope of Position:
The Accounting Supervisor, Cash Applications is responsible for establishing and maintaining a thorough understanding of Wilbur-Ellis Accounts Receivable processes to ensure that system functionality and performance meet current and future requirements. The Accounting Supervisor, Cash Applications will work closely with the branches and managers to ensure the daily and monthly transactions are recorded and processed correctly. The Accounting Supervisor, Cash Applications will also be responsible for coordinating other key accounting initiatives. This Accounting Supervisor, Cash Applications must be able to optimize knowledge of relevant AR software applications, evaluate existing processes, identify and implement appropriate changes to increase efficiency and enhance user experience.
Key Personal Attributes Include:
- Supervise the AR staff to ensure quality and accurate completion of assigned work in cash receipts, GL receipts, intercompany transfers, payment posting, reconciliation, and credit balance resolution
- Lead, coach, motivate, develop, and mentor the team, and provide leadership related to the research, resolution, root-cause analysis, and reduction of unapplied cash receipts
- Monitor productivity and manage workflow, inquiries, research requests, and adjust work assignments as needed
- Resolve processing issues with our banks, lockbox providers, customer portal, and cash application service provider
- Work with third-party financing providers to provide the team with the most accurate and efficient cash application processes
- Work with the bank, IT, and operation team to improve the Local Capture Deposit process
- Collaborate closely with other accounting teams, Credit, Tax, Operation, Business Process Leads, and other internal stakeholders
- Perform AR Month-end and Year-end activities
- Oversee the process of customer refunds being processed timely and accurately for applicable overpayments on customer accounts and monitor for stale checks
- Manage Payment Card Industry Compliance Program
- Develop and conduct cross-training program and maintain process documentation
- Develop and report on performance metrics along trends related to Cash Application
- Develop and conduct an onboarding training program for new administrative staff in operation
- Perform other duties as assigned
Specific Responsibilities and Key Deliverables Include:
- Education:
- Bachelor degree required
- Experience:
- 2+ years supervisory experience
- 5+ years of experience in the related accounting field
- ERP environment experience
- Skills, Knowledge, and Abilities:
- Must be customer service oriented
- Excellent communication skills
- Highly motivated, organized, detail-oriented, and a team player.
- Strong analytical and business acumen skills, problem-solving, and the ability to handle multiple responsibilities effectively.
- Intermediate to advanced level of expertise with MS Excel
