QUALIFICATIONS:
High School graduate/GED
Accurately type 55 wpm
Five years experience developing/managing major institutional budgets or equivalent experience.
Specific skill-based competencies required to satisfactorily perform the functions of the job including: operating standard office equipment including utilizing pertinent software applications; planning and managing projects and programs; monitoring financial activities; preparing and maintaining accurate records; maintaining personnel policies and procedures.
JOB GOAL: To assist in the oversight of district school maintenance services by providing information and serving as a resource to department supervisors and staff; to achieve defined objectives by assisting in planning, evaluation, developing, implementing and maintaining services in compliance with board policy and Arkansas codes/regulations; and to supervise and direct assigned staff.
PERFORMANCE RESPONSIBILITIES:
Assist in developing and monitoring budget allocations, expenditures, fund balances and related financial activities to ensure that allocations are accurate and expenses are within budget limits and/or fiscal policies are followed.
Assist in management of the work force (e.g. selection of new hires, promotions, terminations, transfers, supervision, discipline, training, etc.) to maintain staffing needs and productivity.
Collaborate with maintenance and operations and District administrators, auditors, public agencies, plant planning and vendors, to implement and/or maintain services and programs.
Supervise daily activities of Secretary/Dispatcher and assist with procurement actions as needed.
Maintain accurate daily time cards, and overtime/compensation time records for payroll.
Prepare and submit biweekly payroll, and assist employees with questions concerning payroll.
Prepare and submit all workers' compensation claims, maintain accurate files and monitor claims
Maintain employee records and facility maintenance files, and serves as department’s records official.
Coordinate documentation of hazardous material (asbestos) containment and/or removal to ensure that facilities are environmentally safe and to ensure compliance with legal regulations and guidelines.
Assess incidents, complaints, etc. for the purpose of resolving or recommending a resolution.
Facilitate and/or participate in meetings and workshops, etc. for the purpose of identifying issues, developing recommendations, supporting other staff and serving as a District representative.
Prepare correspondence, memos, reports, policy/procedures, budget, etc. to document activities, provide written reference and/or convey information to internal and external stakeholders.
Present information for the purpose of communicating information, gaining feedback and ensuring transparency, adherence to proper management internal controls, and audit recommendations.
Perform other duties as assigned.
