Job Summary/Scope
The Manager of Organ Recovery-LR supervises Organ Recovery Coordinator (OPC) and Surgical Recovery Coordinator (SRC) positions in Little Rock. Position provides program leadership and development. Provides support to families of donors, implements donor management techniques, organ allocation and the surgical recovery of organs for transplant. Provides consistent communication between hospital departments and OPO, trains hospital staff, provides coordination/communication with all hospital departments important to organ donation; coordinates with Recovery Coordinators, generates reports relevant to duties, and follows-up with hospital staff post recovery.
Essential Functions
- Responsible for the supervision of Little Rock Organ Recovery and Surgical Recovery staff.
- Communicates job expectations, planning, monitoring, coaching, counseling and appraising job results.
- This includes compliance with ARORA Clinical and Safety Standards of Practice.
- Monitors and approves staff time records and overtime requests.
- Monitors and approves overtime and ensures cost is within designated budget.
- Follows and enforces systems including Standard Operating Procedures.
- Assumes responsibility for communication between organ recovery coordinators (Little Rock), SRC’s, and the Clinical Director.
- Directly responsible for call schedule for organ recovery coordinators (Little Rock) and SRC’s. Responsible for compliance of organ recovery coordinator staff (Little Rock) with their specific areas of responsibility.
- Ensure timely and accurate data management and submission.
- Including quality assurance measures relating to data management and submission are being followed within ARORA departments, outside agencies (e.g. UNOS, AOPO), and electronic donor records.
- Responds to referrals, rounding, case activity, etc. at designated or directed location.
- Works in collaboration with ARORA staff and hospital personnel during referral and case activity to ensure environment is optimum for maximizing donation potential.
- Maintain the essential functions including the knowledge, skill, and abilities of an Organ Recovery Coordinator.
Secondary Functions
- Responsible for outlining budget with the Clinical Director for organ recovery (Little Rock) for the fiscal year.
- Collaborates with Donation Development for developing and implementing practices to enhance hospital development in our service area. Will assist organ recovery staff (Little Rock) in the assessment, implementation and evaluation of educational activities in their assigned hospital areas.
- Responsible for planning continuing education of the OPC’s (Little Rock) and SRC’s throughout the year, as well as working with the Director of Clinical Services in planning educational activities.
- Responsible for promoting and maintaining communication with affiliated agencies (locally and nationally).
Essential Management Functions
- Member of Leadership Team participating in the development of tactics to implement the strategic goals.
- Ensures implementation of strategic goals as they relate to the department.
- Responsible for assisting with or creating the annual budget and monitoring expenses for your area of responsibility.
- Collaborates with Director of Finance regarding departmental fiscal responsibility.
- Ensures staff documentation completion and accuracy.
- Responsible for oversight, compliance, and monitoring of contractual agreements under area of responsibility.
- Authorized to negotiate contractual terms and request competitive quotes in accordance with financial policies on behalf of the organization.
- Develops, tracks, and reports Key Performance Indicators (KPI), departmental Continuous Quality Improvement (CQI) goals and monthly statistics utilizing techniques to test improvement efforts.
- Presents CQI departmental goals to CQI committee.
- Presents departmental reports to Director’s Group, Leadership Team and/or Board of Directors, as required.
- Promotion of staff engagement including wellness initiatives.
- Expected to serve as spokesperson at public events as it relates to your area of responsibility.
- Collaborates with the Quality Systems Department to ensure policies and practices follow Standard Operating Procedures and are in compliance with accreditation, certification and regulatory agencies.
- Responsible for writing, revising, editing and proofreading job descriptions, SOPs, and related departmental documents.
- Responsible for cooperative management with other managers at ARORA to ensure that tasks and responsibilities of direct reports are completed timely and efficiently.
- Responsible for interviewing, hiring, orientation, counseling, discipline, and separation of direct report(s).
- Conducts annual evaluations, monitors professional development and annual competencies for direct report(s).
- With the approval of CEO serves on national committees.
- Routinely takes Administrator-On-Call to assist on-site staff in problem solving overcoming obstacles to donation.

Must have the ability to lift minimum weight of 55 lbs.

- Competency Evaluation: Competency evaluations are required for this position. Your supervisor will notify you when your evaluation is to be conducted.

Work Environment
- Works in various locations, including normal office environment, operating room, hospital environment, and other locations as essential and secondary functions necessitates.

- Frequent travel required by personal vehicle to fulfill the duties and responsibilities of the position.

Work Hours
ARORA is a 24/7 operation and will require this position to work various shifts. Manager of Organ Recovery- Little Rock participates in rotating call schedules (primary, secondary, and tertiary) and maintains an on-call schedule in 24 hour shifts. This position must be available evenings, holidays, and weekends as required.
Minimum Job Requirements
- Licensed Registered Nurse (AD, BS, or Diploma), Physician's Assistant (PA), or BS/BA in health care related discipline.
- Minimum three years of clinical critical care or emergency medicine experience.
- At least 2 years of organ recovery experience required.
- At least 1 year experience as a CPTC required.
- Maintain a valid driver’s license, reliable automobile, and proof of automobile insurance.
- Maintain any current licensures and certifications.
- Must maintain required vaccination and/or health screenings to minimize the potential for disease transmission.
- Must exhibit leadership, writing and presentation skills.
- Must indicate and have understanding of financial matters dealing with the planning and creation of a budget.
- Consistent demonstration of attention to detail, precision, accuracy, and customer satisfaction.
- Possess strong prioritization skills and the ability to effectively manage multiple projects and tasks.
- Excellent problem solving, conflict resolution and interpersonal skills (i.e. has the ability to make decisions based on situational circumstance, company policy and customer relations).
- Ability to utilize general office equipment, software, and must be proficient in Microsoft Office Suite.
