To provide secretarial and administrative support to the staff of the Arkansas Adult Learning Resource Center.

Reviews documents including travel reimbursement forms, vouchers, records, and
reports for accuracy and completeness of information and compliance with rules and
regulations and makes necessary corrections. Contacts submitting agency/institution or
individual to obtain additional information or to correct discrepancies in documents.
Establishes document files and maintains files by updating and purging as needed.
Enters data into computer system and makes changes and/or corrections. Composes
and types routine correspondence and form letters May calculate rates, fees, taxes, on
travel reimbursement forms. Performs other duties as assigned.
Screens incoming calls, directs calls, and takes and transmits messages. Greets
visitors and provides assistance. Receives, date stamps, sorts, and distributes various
mail and correspondence to appropriate personnel. Prepares external and internal
outgoing mail and follows established procedures and postal requirements.
Photocopies various documents and ensures appropriate safeguard of such documents
related to confidentiality. Performs tasks using standard office equipment and computer
programs to prepare and format forms, correspondence, reports, and other documents.
Provides routine data entry, keying in information into designated fields using various
databases. Answers written or oral inquiries of a routine nature. May schedule
conference rooms, verify data, provide follow-up, and communicate schedule to
appropriate parties.
Specific Responsibilities:
 Greet all incoming visitors, check them in and direct them appropriately
 Retrieve voice-mail messages from the week-end and/or overnight first thing every
morning and make call backs or distribute to personnel as needed
 Answer telephone in a timely manner and direct calls to the appropriate individual
whenever possible
 If caller prefers to leave a message rather than a “voice mail” - distribute
messages accurately and in a timely manner
 Deliver messages to meeting/training attendees when required
 Maintain inventory of supplies and materials (e.g. forms, office supplies, etc.)
 Maintain office equipment and work areas (e.g. cleaning kitchen, clearing paper
jams in copiers, keeping copiers full of paper, etc.)
 Prepare and maintain supplies to support AALRC activities
 Print and post sign in sheets for each meeting/training
 Arrange meals with caterers as needed
 Set up and maintain coffee, drinks, paper products, and supplies for
 Maintain current contact information for adult educators and literacy providers for
the AALRC website
 Responsible for the Official AALRC calendar. (Official book, website, and office
 Schedule use of AALRC meeting rooms
 Coordinate with PD Coordinator for training schedule
 Post information on TV monitor for location of meetings/trainings
 Process and file travel reimbursement forms error-free for staff and participants in
 Must be familiar with state travel guidelines
 Use Excel to complete travel forms
 Perform duties in support of professional development program.
 Prepare Sign in sheets as needed
 Use Excel to maintain training database
 Consistently and timely read and respond to electronic mail
 Provide general secretary work for the AALRC staff
 Post and distribute mail daily. (stamp date received on all incoming mail)
 Maintain postage meter
 Perform other duties as assigned
 Responsible to the AALRC Director for job performance
Minimum requirements:
 High School Diploma
 Two years’ experience in a related administrative position
 Ability to use common business applications, like Microsoft Office Suite
 Demonstrated ability of written and oral communication skills
 Ability to multi-task
 Ability to participate effectively in work-groups
 Ability to incorporate principles of lifelong learning
 Must be able to lift a minimum of 40 lbs
Knowledge, Skills, and Abilities
Knowledge of record-keeping procedures. Knowledge of basic arithmetic. Knowledge of
basic grammar. Knowledge of computers and software applications. Ability to conduct
research and compile data into report form. Ability to establish and maintain filing
systems. Ability to operate standard office equipment. Ability to analyze documents to
determine compliance with rules, regulations, and procedures. Ability to communicate
both orally and in writing.

Salary: commiserate with experience
(Contracted on a yearly basis contingent upon funding from the Arkansas Division of
Workforce Services, Adult Education Section and external grants)
